Business Model for Mountain View Terraces

The following is the updated 2012-2013 business model used at Mountain View Terraces (MVT). This is the model put forward during the first meeting of the new Board of Directors on 29-Sep-2012 and revised 11-Mar-2013. Our management company, Diversified Management Southern (DMS), through our manager, Marian Rodriguez, provides the day-to-day operational management of our business affairs.

General Activities

  2. The Board meets once a month generally for about 2 hours, 10 times with the manager from DMS

  3. The Board may meet more often without DMS when doing the budget and other planning

  4. The Board meets once a year at the AGM where they resign and a new Board is voted in

  5. Most business is conducted using e-mail, voting is tracked in our minutes and implemented as required

  6. E-mail voting provides the chance for directors to both comment and vote, after 48 hours the majority vote is implemented

  7. Most Board members spend about 15 minutes to ½ hour a day conducting the corporation business

  8. The Chair or if the Chair is unavailable the Vice Chair is the only contact with DMS, as per our contract

  9. The Chair or if the Chair is unavailable the Vice Chair and DMS are the only vendor contact for consistency

  10. The Treasurer is also in contact with DMS accounting as required to verify our financial records

  11. The Secretary keeps the minutes of the Board meetings as DMS does not provide this service

  12. The Chair signs the approved minutes of the Board meetings and delivers them to Diversified

  13. The Chair files in corporate storage the paper copy of the notices and other correspondence sent out by DMS

  14. A Board member and/or DMS checks that work performed by vendors is completed and satisfactory

  15. Volunteers do work for moves, plant watering, and other items that come up from time to time

  16. A Board member is designated the E-mail Contact Coordinator to answer mail from info@mvtcondos.ca

  17. The Board writes the newsletter, we have a volunteer copying, editing and distributing the newsletter

  18. We have a volunteer tracking front door security keys and handling petty cash

  19. All Board members are encouraged to write for the newsletter as it is our platform to the owners

Specific Jobs Assigned to Board Members

Board members take care of the following items, assigned to members with the time or interest. Each task should have a backup member.

  1. Checking the visitor parking lot for vehicles in violation of our bylaws (visitors only, no residents) and calling the parking authority (no pass after 11:00pm) or having DMS send out warning notices

  2. Setting up the intercom at the front entrance of both buildings and providing a printout for the names and codes that are updated and stored on Google Docs

  3. Setting up the garage door electronic key and tracking on Google Docs the slot number of the key to the owner the key is programmed for

  4. Tracking on Google Docs the name and unit number of who is holding an emergency key for each unit

  5. A Board member provides access into both buildings for various vendors working in the common areas

  6. Tracks the maintenance work checking to see if the work is done and the work is satisfactory

  7. Takes care of updating the website with our newsletters and other information of interest

  8. Provides a contact for e-mail communications from tenants using info@mvtcondos.ca

  9. There should be a Board member on the move in/out committee for liaison, because the owner contact information comes from DMS to the Board

  10. There should be a Board member on each committee to provide liaison

When faced with large jobs requiring constant monitoring such as the deck reconstruction and other maintenance work, we have hired a contract project manager for $80.00/hour + travel + GST. Some years a Board member volunteered to take on this responsibility for a considerable cost savings to the corporation. Each new Board will have to decide if they want a volunteer for this position or if they want to hire someone. This activity takes from one to 10 hours a day, rarely more than 16.
